Site Administrator - Full Time / Non Exempt

Beatitude House currently has an opening for a site administrator in Ashtabula County to oversee the day-to-day operations of a Transitional Housing Program.  This program offers 10 individual apartments for both single women and families coming out of homelessness.

The Site Administrator serves as the overall liaison and the “face” of the site. The successful candidate will exhibit strong leadership and decision making skills and be self-motivated, quick-thinking, flexible, and able to juggle multiple and diverse responsibilities. Responsibilities include accepting and tracking rent, coordinating volunteers, and working with the property manager and maintenance staff to ensure all buildings are secure and well maintained.  A sunny disposition and positive attitude is a must.

RESPONSIBILITIES

To ensure that the mission and purpose of Beatitude House is accomplished, the Site Administrator will:

  • Serve as overall liaison and the “face” of the site, administrating the day-to-day operations
  • Respond to phone calls and donor requests/walk-ins, including site tours
  • Coordinate and train volunteers at the site
  • Assist Property Manager in all other duties, as requested

To ensure all buildings are secure and well maintained, the Site Administrator will:

  • Assess any site or maintenance emergencies and alert the proper staff
  • Monitor all security cameras
  • Ensure that all security features are working properly
  • Keep track of security fobs and disabling them as needed
  • Maintain a log of all keys
  • Coordinate day-to-day maintenance
  • Participate in inspections of the apartment and building
  • Work with the property manager and maintenance staff on long-term maintenance and capital needs

To ensure the efficient fiscal operation of the offices, the Site Administrator will:

  • Carry out all policies, procedures and financial protocols of Beatitude House
  • Approve requests in specific areas of the budget
  • Send invoices to the accounting office in a timely manner
  • Maintain appropriate financial records
  • Prepare and maintain paperwork for budget requests
  • Log donations, send acknowledgements, and make deposits promptly
  • Manage rent records, notices, and deposits, assisting the Property Manager

To ensure the site is able to support residents, the Site Administrator will

  • Coordinate all apartment  turnovers
  • Oversee the organization of gift-in-kind donations and apartment supplies
  • Be on call for emergencies for one week on a rotating basis with other staff

QUALIFICATIONS

  • High school diploma, GED
  • Bachelor’s degree in business, management, real estate or related field preferred
  • Clerical skills with experience in bookkeeping
  • Experience in property management preferred
  • Experience in social service setting preferred
  • Proficient in Microsoft Office, Excel
  • Attuned to details
  • Excellent organizational and communication skills
  • Ability to work independently
  • Ability to carry up to 25 lbs. and walk stairs
  • Knowledgeable in HUD regulations or willing and capable of learning
